Full-time position, based in Sofia

WWF-Bulgaria is engaged with protected territories and habitat of Europe-wide importance, forest and freshwater conservation, sustainable development of rural regions and climate change. As member of the regional organisation WWF Central and Eastern Europe, WWF-Bulgaria contributes to securing Europe's great natural treasures in the Danube-Carpathian region and make people live in harmony with nature.

We're currently looking for a motivated and dynamic Administrative Assistant to join the Bulgarian team and provide support with administrative duties and office procedures. The role is essential in ensuring a pleasant working environment and smooth running of the office. The job holder will be working closely with both theFinance and Administration team and the Forest Conservation team, providing technical assistance on projects.

 

Responsibilities:

  • Providing overall administrative support to the Finance and Administration department
  • Providing technical and administrative support for the implementation of the forest program, including preparation of contracts, communication with external experts regarding F&A procedures, sending of letters, statements, materials under the guidance of the forest experts
  • Preparing reports from business trips, incl. travel reports, expenses reports
  • Sorting and distributing incoming mail, incoming and outgoing postal and courier parcels, maintaining correspondence archive
  • Assisting with the organisation of in-house or off-site activities (meetings, seminars, events) - including logistical support, note taking, etc.
  • Ensuring proper maintenance of office equipment, arranging repairs when necessary
  • Following up on availability of office supplies and organizing timely order and delivery
  • Liaising with office vendors, service providers and other partners
  • Ensuring proper assets management and carrying out physical inventories
  • Answering and directing calls, welcoming visitors
Requirements:
  • Bachelor's degree (in economics-related discipline or forestry, environment, ecology, social sciences) or final-year student
  • Experience in NGO and work on projects would be a plus
  • Ability to prioritize and complete work with minimal supervision
  • Energy, drive and positive attitude
  • Personal effectiveness and solution-oriented approach
  • Attention to detail
  • Good communication skills
  • Good computer literacy (practice with Word and Excel)
  • Good level of written and spoken English and fluency in Bulgarian
  • Ability to work in an international environment and within a multi-cultural team
  • Commitment to WWF's mission, interest in nature protection
