Workload: 38–40 hrs/week
Format: Primarily on-site (Plovdiv), limited remote work, 7-8 h / day office, and / or field work

Smokinya Foundation is looking for a practical, organized, and reliable Office Manager to keep our daily work flowing.

This is not a “desk-only” role. You’ll help run an international youth hub with projects, volunteers, and real responsibility.

Who We Are

Smokinya Foundation is a youth-focused NGO based in Bulgaria, working to create a world that works for everyone out of love, care, and cooperation. It provides opportunities for young people to learn, grow, and take initiative through Erasmus+ and European Solidarity Corps projects. The organization uses experiential and non-formal education to support personal development, leadership, and self-awareness. Smokinya operates both in urban and rural contexts, including a developing international training center in the village of Mrachenik. Through its work, it connects local and international communities, empowering young people to turn ideas into meaningful action.

What You’ll Actually Do
  • Keep the office running
Organize schedules, priorities, and workflows
Maintain documents, systems, and internal structure
Handle admin, coordination, and day-to-day operations
  • Support international projects
Work with ESC volunteers & Erasmus+ participants
Prepare documents, lists, and info packs
Coordinate logistics (travel, accommodation, materials, schedules)
  • Be the communication bridge
Communicate with partners and stakeholders
Coordinate between team, volunteers, and projects
Represent Smokinya clearly and professionally
  • Support events & activities
Help organize trainings, workshops, and youth events
Prepare spaces, materials, and timelines
Solve real-time problems during activities
  • Keep people and systems in sync
Support volunteers and team members
Track tasks, calendars, and progress
Improve processes—not just follow them

What the Work Actually Looks Like
  • Support 3–5 active projects at once
  • Work with 4–12 ESC volunteers
  • Help run 2–5 events per month
Reality:
  • 60% coordination & digital work
  • 40% on-the-ground (events, logistics, people)
Some periods are calm. Others are intense. You need to be comfortable with changing pace and responsibility, including occasional work outside standard hours.

  1. Organized and reliable—you follow through
  2. You take initiative (you don’t wait to be told) and create quality results
  3. Comfortable in an international, fast-changing environment
  4. Able to manage multiple priorities without losing structure
  5. You are aware of NGO sector in Bulgaria (with all it's pros and cons)
You enjoy both:
  1. focused computer work
  2. real-world coordination
Skills
  • You can handle calls, emails, and coordination in English without stress
  • Fluent Bulgarian (spoken & written)
  • Google Workspace, Slack, Canva (or similar)
  • Experience in coordination / admin / NGO work = strong plus
  • Driving license = strong advantage

  1. Location is Plovdiv, where we have an office space in the very centre.

  3. Competitive NGO compensation + growth potential (depends on your experience, and motivation, yet you could expect at 3 and 6 months we do reviews and eventual raise is possible + annual bonuses)
Growth Path

Office Manager → Operations Lead → Project / Program Manager
Growth depends on performance and results, typically within a ~2-year timeframe.
